1. Purpose

Cyrino uses SMS and Microsoft Teams SMS capabilities to communicate with employees, job applicants, clients, partners, vendors, and other authorized business contacts for legitimate business purposes.

This policy establishes the rules governing the use of SMS communications, including messages sent through Microsoft Teams SMS, to ensure privacy, security, regulatory compliance, and responsible communication practices.

2. Scope

This policy applies to:

  • Cyrino employees and contractors
  • Prospective employees and candidates
  • Clients and customer representatives
  • Vendors, partners, and suppliers
  • Any individual receiving SMS communications from Cyrino

3. Permitted Use of SMS Communications

Cyrino may send SMS messages for the following legitimate business purposes:

4. Microsoft Teams SMS Usage

Cyrino may utilize Microsoft Teams SMS services using dedicated and verified business phone numbers.

Teams SMS shall be used only for:

  • Appointment and meeting reminders

5. Teams SMS Restrictions

Teams SMS shall not be used for:

  • Mass marketing campaigns
  • Unsolicited promotional messages
  • Bulk advertising
  • Spam communications

All Teams SMS communications must comply with applicable telecommunications regulations and industry best practices.

6. Consent Requirements

Before sending SMS communications, Cyrino shall obtain appropriate consent where required by law.

Consent may be obtained through:

  • Employment applications
  • Client engagement forms
  • Business relationship agreements
  • Website forms
  • Explicit written or electronic consent

Individuals may revoke consent at any time as described in the Opt-Out section of this policy.

7. Opt-Out & Subscription Management

Recipients may stop receiving SMS communications at any time.

To opt out, recipients may respond with:

  • STOP
  • END
  • QUIT
  • UNSUBSCRIBE
  • CANCEL
  • OPT OUT
  • REVOKE

Once an opt-out request is received:

  • Future messages from the same communication campaign shall cease immediately.
  • Cyrino will honor all valid opt-out requests promptly.
  • A confirmation message may be sent to confirm the opt-out request.

If a recipient subsequently wishes to resume SMS communications, they may:

  • Provide new consent, or
  • Respond with START where applicable.

Cyrino respects the privacy of all individuals.

Information collected for SMS communications shall only be used for:

  • Delivering business-related communications
  • Supporting operational activities
  • Providing requested services
  • Maintaining business relationships

Cyrino will:

  • Protect mobile numbers and personal information.
  • Process personal information in accordance with applicable privacy laws.
  • Maintain appropriate security controls.
  • Limit access to authorized personnel only.

No Sale of Personal Information

Mobile numbers, consent records, and opt-in information shall not be sold or shared with third parties for marketing purposes.

Text messaging consent data and opt-in information will not be shared with third parties except where required for message delivery, legal compliance, or security purposes.

9. Security Requirements

SMS is not considered a secure channel for transmitting confidential information.

Employees, clients, and other recipients should never transmit via SMS:

  • Passwords
  • MFA/OTP codes
  • Security tokens
  • Banking information
  • Client confidential data
  • Protected health information
  • Sensitive personal information

Cyrino will never request passwords or authentication credentials via SMS.

10. Prohibited Content

The following content is strictly prohibited in any SMS communication sent by Cyrino:

  • Unlawful or illegal activities
  • Hate speech
  • Harassment or discriminatory content
  • Defamatory content
  • Pornographic material
  • Obscene or offensive content
  • Fraudulent or deceptive messages
  • Malware distribution
  • Threats or intimidation
  • Content intended to cause harm
  • Messages designed to evade recipient opt-out requests

Any violation may result in disciplinary action and legal consequences.

11. Anti-Spoofing Requirements

Cyrino prohibits the use of spoofed telephone numbers or any practice intended to misrepresent the identity of the sender.

All SMS communications must originate from:

  • Authorized Cyrino systems
  • Approved Microsoft Teams SMS services
  • Approved communication platforms

Employees may not use unauthorized messaging platforms for business communications.

12. Message Charges

Cyrino does not charge recipients for SMS messages.

However:

  • Message and data rates may apply depending on your wireless service provider.
  • Charges are determined by the recipient's mobile service provider.

Recipients are responsible for any costs imposed by their telecommunications provider.

13. Record Retention

Business SMS communications may be retained for:

  • Compliance purposes
  • Security monitoring
  • Audit requirements
  • Dispute resolution
  • Business continuity requirements

Retention periods shall align with Cyrino's Information Security, Privacy, and Records Management policies.

14. Compliance & Enforcement

All employees must comply with this policy.

Non-compliance may result in:

  • Removal of SMS access
  • Disciplinary action
  • Legal or regulatory consequences
  • Escalation to Human Resources, Information Security, or Management

Cyrino reserves the right to suspend or terminate SMS communication capabilities that violate this policy or applicable legal requirements.

By providing your mobile phone number to Cyrino, you consent to receive SMS text messages from Cyrino related to recruitment and business communications, including:

Message frequency varies. Message and data rates may apply. Message delivery is subject to your wireless carrier's coverage.

Consent is not a condition. Consenting to receive SMS messages is not a condition of employment, purchase, or any service with Cyrino.
